Title: Sales Assistant Report to: Manager Location: Fort Lee, NJ Salary: $55k-$60k bonus FLSA Status: Non-Exempt Work Structure: Hybrid/Work-from-Home allowed up to twice a week Start: Jan 2025 Summary: This position performs administrative tasks related to trading, such as product logistics and paperwork coordination. Essential Job Functions: BUSINESS ADMINISTRATION • Prepares sales and purchase contracts. • Tracks merchandise statuses of pre-shipment. • Arranges shipments and informs all concerned parties. • Obtains, prepares, and/or processes required shipping documents. • Develops delivery order instruction (DOI) and title transfer instruction. • Arranges logistics and custom clearance. • Develops invoices, debit notes, and credit notes as necessary. • Updates inventory status. • Updates payment schedule. • Prepares/checks documents for payment. • Opens/receives Letter of Credit. • Collects account receivable. • Updates Accounts Receivable Trade, Accounts Payable Trade, and Miscellaneous lists. • Inputs information into the Company's system (HKBS2) correctly. • Enters information to update reports such as monthly shipment/inventory report, monthly invoice summary, and monthly. • Sends/receives/files documents. • Updates unarrived inventory status. • Submits marine insurance as necessary. • Prepares documents for audit. • Monitors E-credit balance and alerts Sales reps if necessary. OTHER&MISCELLANEOUS • Seeks constant improvement, more efficient and less expensive ways and means in work processes. • Performs special projects and other miscellaneous duties as assigned by manager and other senior management. • Supports departmental works if other employees are absent. May support other department if required. • Maintains high ethical standards in the workplace. • Reports all irregular issues and problems to supervisor and works to resolve those issues. • Maintains good communication with other staff&outside contacts. • Complies with all company policies and procedures. • Responsible for maintaining a clean and safe working area.
