Job Description Job Description The Portfolio Management Assistant – (PMA) shall primarily be responsible for tenant lease documentation, file regulatory compliance and annual reporting. Duties include, but are not limited to, tenant certification/recertification, LIHTC reporting and general LIHTC administration. This position is an important part of the Operations Team, strongly supporting the Property Management team, and will work with City/State agencies on file audits, both preventing and addressing findings. The PMA is a key member of the team and shall work with and for the OM as a designate, fielding and responding to team requests as needed. Responsibilities: COMPLIANCE Efficiently process all new applications, following up with applicants for missing documents; submit for approval/denial in accordance with Renaissance procedure; prepare new lease packages as needed, confirming compliance with all applicable regulations and internal policies Proactively pre-lease occupied units using Renaissance renewal procedure; recertify tenants at renewal in accordance with all LIHTC rules/regs, preparing all lease documentation, Tenant Income Certifications, calculations, and submissions Complete Compliance corrections promptly Conduct physical and Yardi property audits to maintain electronic files (shred paper) and keep Yardi dashboard current Confirm documentation for each tenant: parking, pets, bicycles, and/or storage units Complete parking tax calculations REPORTING Class 9 / CLIHTF AOC-COC, submissions City of Chicago Benchmark ADMINISTRATION Retrieve voicemails for multiple properties and email leads to appropriate party Teach residents how to submit work orders online via Rent Café Assist with rent collection Assist with creation and distribution of 5,10, 30 days notices. Assist in open houses occasionally Skills, Knowledge, Abilities and Qualities Required Experience with tax credits, preferred Proficient in Microsoft Word and Excel; experience with Yardi, preferred Valid leasing license (or obtain within 60 days of hire) Knowledge of computer systems, computers, office equipment and clerical procedures is important to perform the tasks required Professional organizational and interpersonal skills; empathy and compassion to connect with co-workers; inspired to serve the needs of our customers Must use imagination and creativity to motivate self and others Ability to timely and effectively follow up on all documentation Ability to effectively communicate with co-workers and senior management Ability to maintain regular attendance Ability to handle customer/employee complaints and issues including situations where customers/employees may be angry and/or upset Ability to read, write and follow oral and written direction in the English language at a level adequate to perform the job duties Maintain and encourage a positive work atmosphere by behaving and communicating in a manner that promotes cooperation and positive, memorable experiences for co-workers, managers and others with whom contact is made Capable of performing the essential job responsibilities of this position with or without reasonable accommodation Physical Demands&Work Environment The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of the job.
