Job Description Job Description Bancroft Construction is looking for a full-time Project Coordinator I . The primary responsibility of the Project Coordinator I is to support the project team regarding contract modifications, compliance, payments, reports and any other duties related to the project. Project Coordinators at all levels are expected to occasionally travel to project sites for project meetings or other tasks. This position also supplies administrative support to the project management team and facilitates the office coordination when needed. Salary Range: Depending on skillset and experience, starting at $57k - $72k Responsibilities: Contract Administration Issue contracts, purchase orders (POs), and Commitment Change Orders (CCOs) to Trade Partners. Create Prime Contract Change Orders (PCCOs) and submit them to the Owner for review/ approval. Understand compliance requirements for all assigned projects. Collect, track and submit compliance documents in a timely manner per the project requirements. Create, produce, and execute all letters of intent and contracts, change orders, etc. Prepare Owner invoices and audit for accuracy and completeness of the backup documentation. Work with the project team to review and process Trade Partner&vendor invoices accurately and within the assigned timeline. Assist Support Services with disbursing Trade Partner&vendor payments accurately and within assigned timeline. Job Costing&Reporting Assist with budget and cost tracking&monthly reporting. Review&correct budget overages and assist project team with projections. Manage all accounting related functions for assigned projects and assist project teams with any questions or needs related to the project accounting. Generate reports including owner payments, A/R, contract status, and job cost. Project Team Support Act as a liaison between Project Team members, Clients, and Trade Partners. Support APM with project closeout by organizing, assembling, and copying project documents such as submittals, contract requirements, O&M manuals, record and as-built drawings and other documents generated by the Trade Partners or Client during project management. Coordinate/facilitate contract financial close-out requirements. Administrative Support field and office management with materials, signage, copying, reporting, etc. Assist in maintaining the Procore filing system, including but not limited to change order backup, invoices&backup, photos, contracts, closeout documents, etc. Provide support for scheduling meetings, maintaining distribution lists, creating meeting agendas, preparing meeting supplemental documents, recording&distributing meeting minutes. Provide clerical/administrative support for project teams, including assisting with the distribution or collection of required documents, correspondence, setting up and maintaining job starts/buy outs, and creating/maintaining master filing systems. Other related duties as assigned or needed. Qualifications: High School diploma (or equivalent). Associate’s degree preferred An ideal candidate will have 2 years of experience in construction management, commercial general contracting, or related field Experience with CMc or GC delivery type projects Ability to handle 8 projects and support multiple employees’ administrative needs with minimum supervision is essential Strong verbal and written communication skills Extreme attention to detail Superior accuracy and proficiency in accounting processes Strong time management skills and ability to work effectively under pressure and meet monthly deadlines Proficient in Office 365 programs, including Word, Excel, PowerPoint, Teams Procore knowledge is preferred but not required SAGE Timberline and Textura Payment System knowledge is preferred but not required Fundamental experience using databases. Education/Experience: High School diploma (or equivalent). Associate’s degree preferred. 2 years of experience in construction management, commercial general contracting, or related field is preferred.
