Job Title: BWPO Practice Assistant II Date: 08/28/2024 Job Code: 003354 Grade: 893A Reports To: Practice Coordinator GENERAL SUMMARY/OVERVIEW STATEMENT: Summarize the nature and level of work performed. Brigham and Women's Primary Care Associates, Longwood, located in the Longwood Medical Area near Brigham and Women’s Hospital main campus, is an internal medicine practice opening in January 2015. Our goal is to create an environment that fosters healing relationships between patients and their healthcare team while supporting an outstanding educational experience for future members of that healthcare team. The practice must meet the health needs of the local community and contribute to improved population health. We are looking for practice assistants to be part of our team. As advocates for our patients and their families, they make it easier for them to navigate the healthcare system, ensuring everyone receives the care they need. PRINCIPAL DUTIES AND RESPONSIBILITIES: Creating an unparalleled experience for our patients and their families Responding to requests from patients, families, and co-workers in person, by phone, and by e-mail Using knowledge of access to meet the needs of patients while effectively utilizing various interaction methods Preparing for patient visits by providing patients with necessary information and completing required tasks Tracking and addressing no-shows and cancellations Continuously improving scheduling templates Checking in and out patients Updating contact information and preferences Scheduling and tracking diagnostic testing and specialty referrals Courteously helping patients and families navigate the practice and healthcare system Assisting the healthcare team with administrative tasks Participating in process improvement groups All other duties as assigned QUALIFICATIONS: High school diploma or equivalent required; additional education or training preferred 1-3 years of experience in a similar setting working with the public SKILLS/ABILITIES/COMPETENCIES REQUIRED: Customer-focused and patient-centered Ability to multi-task and adapt to change Understanding of office procedures including filing, copying, scanning, printing, and faxing Strong verbal and written communication skills Basic computer literacy and understanding of office systems Knowledge of medical terminology and insurance processes WORKING CONDITIONS: Hospital-based ambulatory practice.
