Job Description Job Description Job description Property Management is looking for entry-level assistant/coordinator with strong communication skills and computer skills for rapidly growing management team DUTIES AND RESPONSIBILITIES ADMINISTRATIVE Perform the day to day administrative operations: Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution Pickup, sort and distribute mail and misc. bank deliveries/deposits Open, sort and distribute incoming correspondence and faxes File and retrieve corporate documents, records, and reports Answer all calls and transfer accordingly Draft daily correspondence and prepare misc. forms/documentation Making payments billing vendors, weekly payroll Daily Updating in rent roll / rent book and Appfolio online program Maintaining records management systems, and performing basic bookkeeping work. Assist personnel with misc. duties (Office Manager, Property Manager etc.) Acts as a leasing agent, assisting in leases, renewals and other similar functions Handle utilities for all homes Build and maintain solid relationships with vendors/agencies/tenants/staff Process Move-In and Move-Out documentation Compose and prepare routine correspondence, rental notices, and other letters and memorandums Assists with resident relations and problem resolution Property inspections/sign placements and removal Court appearances Enter tax information to spreadsheets for owners. GENERAL Performs any additional duties assigned by the Property Manager QUALIFICATIONS Position requires effective verbal and written communication skills, Proficient in QuickBooks, Microsoft Office programs Preferred knowledge in AppFolio (will provide training) Outstanding multi-tasking Must possess strong prioritizing abilities, and organizational/communication skills. High School diploma or GED required 2yr experience desired but not required . SPEAKING REQUIREMENTS Constant need to communicate over telephone and in person with vendors, contractors, corporate and resident staff. Bi lingual a plus but not required. DRIVING/TRAVELING REQUIREMENTS Daily need to utilize personal transportation to Postal Office, banking institution and for supplies as needed Must have valid driver’s license and automobile insurance WORKING ENVIRONMENT Indoors, occasional outdoors, all conditions. Yearly pay increases based upon performance Continuous support and training REASONING DEVELOPMENT Moderate. Must be able to apply principals of logical thinking to a variety of practical situations and accurately follow standardized procedures that may occasionally call for minor deviations. Needs to think rationally beyond a specific set of instructions.
