Join our Amwins Specialty Casualty Services team in Chicago, IL as an Executive Assistant. This is a full-time in-office position. The Executive Assistant provides vital team functions: Taking ownership of the organization, orderliness, and planning of the physical office space Testing the technology in the conference rooms, collaboration spaces and remote workspaces within the office so meetings can take place without delay or disruption Keep up to date with Amwins GST and the other Chicago operating company’s Administration teams and serve as the ASCS contact for admin and facilities related communications Effectively communicate by telephone and written correspondence any information pertaining to the office location including planned work and repairs, events, and changes Manage security badge access for local employees Order and stock all office supplies for the 15th floor Ensure conference rooms, supply rooms and breakrooms are always neat, stocked and maintained Manage vendor relationships for office and breakrooms Provide office support services such as photocopying, compilation and distribution of materials Serve as point of contact for building management and input maintenance requests as needed Place orders for breakfast and lunch for meetings as needed Coordinate technology and supply related order/replacement needs for employees as needed Order name plates for new employees Support ASCS Leadership Team with other duties as assigned Onboarding and maintaining directories Assist with guest relations, travel and scheduling as needed Manage events for respective leader – including booking dinners, ground transportation and management of guest list Act as the point of contact between leadership and employees/clients Assist with meeting preparation, including collecting agenda items&background materials, creating and editing presentations Act as content manager for internal systems of record and collaboration We are looking for people with: 2-5 years of experience in an administration role or similar Ability to manage multiple projects, priorities, and work with multiple vendors Comfortable in a fast-paced environment and working with urgency Proficient level of experience with MS Excel, Word, and Outlook Advanced knowledge of Microsoft Team Sites, OneNote, Word, Excel, PowerPoint and Outlook Promotes a culture of high performance and continuous improvement that values teamwork and a commitment to quality Ability to execute duties and responsibilities independently and with minimal supervision, think critically, synthesize information from a variety of sources, work collaboratively or independently as required, prioritize effectively, and handle multiple tasks simultaneously, effectively carry out written and oral instructions High degree of tact and diplomacy, inspiring trust from all levels of the organization Unquestionable personal and professional integrity Snapshot of what Amwins provides to our team members: Compensation includes a salary commensurate with experience Most benefits available first day of employment Paternal Leave, Adoption Assistance, Travel Reimbursement for healthcare, Retail Discount Program, Scholarships for dependents of Amwins employees, etc. Generous Paid Time Off and Company Holiday Schedule Collaborative, continuing education focused work environment The above is intended to describe the general content of and requirements for the performance of this job.
