Job Description Job Description Position Title: Commercial Property Manager FLSA Status: Exempt Type of Position: Full-time Department Name: Property Management Reports To: Assistant Vice President, Property Management JOB SUMMARY The primary responsibilities of the Commercial Property Manager are to build and maintain positive business relationships with clients, tenants, and service providers and oversee the daily operations of assigned retail , office, and industrial , properties in central Kentucky at a high level. ESSENTIAL FUNCTIONS OF THE JOB · Builds and maintains positive business relationships with clients, tenants and service providers. · Oversees property management lease/rent cycle: o Collaborates with leasing agents to assist with leasing; o Discusses terms and conditions with prospective, or current, clients for providing management services; o Prepares lease or rental agreements; o Coordinates tenant occupancy and move-in; o Collects rent and maintains zero balance accounts receivable; o Supervises tenant improvement construction and renovations of managed properties; o Enforces agreements and, as needed, assists attorneys. · Prepares annual budgets and monitors monthly for variance. · Prepares annual expense reconciliation on properties, ensures tenants are invoiced for reconciliation expenses in compliance with each lease and collects reconciliation expenses. · Approves invoices for payment and prepares monthly reports for owners and management regarding financial performance. · Solicits, reviews and compares bids for services related to maintenance, renovations, or improvements on properties. · Travels to properties to tour/inspect regularly to review property and equipment conditions. OTHER DUTIES AND RESPONSIBILITIES OF THE JOB · Anticipates and responds to client concerns/needs in a professional, efficient manner. · Seeks opportunities to increase client and tenant satisfaction and strengthen client and tenant relationships. · Responds to property emergencies after business hours and on weekends, as needed. · Supports client account management, including accounts receivable. · Reports / rectifies unsafe conditions and responds to injury reports on property. · Identifies areas for improvement, making constructive changes on properties and instituting preventive maintenance measures. · Assists other departments with projects, as necessary. · Understands all aspects of the company and keeps abreast of changing policies and procedures. · Performs other duties as assigned. SKILLS AND ABILITIES · Possesses exceptional client service skills, and the ability to anticipate and respond to clients in an efficient and accurate manner (verbally or written). · Possesses complex problem solving and project organization skills. · Demonstrates up-to-date working knowledge of commercial real estate properties and commercial property management. · Demonstrates ability to effectively work with company leadership, co-workers, tenants, public, contractors, suppliers/vendors, and independently. · Proficient in the use of Microsoft Word, Excel, Yardi, Outlook and the technical ability to learn new programs, software. · Possesses the ability to prepare financial and other records in a systematic, neat, legible manner. · Proven ability to maintain confidentiality of company and client records. · Communicates effectively (verbally and written). · Demonstrates capability to strategically plan ahead to meet deadlines and future company needs. · Exhibits credibility, flexibility, and adaptability. · Possesses strong analytical, organizational, and detail-oriented skills. · Ability to travel to various properties throughout Kentucky. EXPERIENCE REQUIREMENTS · Minimum of one (1) year’s experience in commercial property management of retail , office , and industrial properties. · Experience utilizing AppFolio Property Management Software is a plus and experience with Microsoft Office Suite is preferred. EDUCATION / CERTIFICATION REQUIREMENTS · High school diploma or GED required. · Associate’s degree in business is a plus. · Possesses valid driver’s license, acceptable driving record, and reliable transportation. PHYSICAL REQUIREMENTS ESSENTIAL TO PERFORM THE DUTIES OF THE JOB · Occasionally remains in a sitting position at a desk to perform duties. · Frequently walks and stands when visiting property sites. · Frequently communicates with co-workers, potential and current tenants, and contractors/vendors in person, on the telephone, and on the computer to provide assistance. · Frequently uses the computer with fingers and hands to type lease agreements and communicate. · Frequently communicates via telephone to maintain client relationships. · Frequently uses a motor vehicle to travel to property sites. · Frequently exposed to outdoor weather conditions when traveling to, or inspecting, properties. · Occasionally climbs ladder to inspect roof of property. · Occasionally lifts objects weighing up to fifty (50) pounds without assistance when visiting property sites. · Frequently stoops, bends, or kneels to inspect property equipment and structure.
