Job Description Job Description Assistant Property Manager/Administrative Assistant Job Summary We are seeking an extremely organized and motivated, self-starting individual to join our property management company. As part of our team, you work under the Lead Property Manager. Having a strong work ethic is paramount. Bilingual skills (English/Spanish) are a requirement. Job Responsibilities: Warmly welcome and assist prospective clients in a professional and approachable manner. Handle incoming phone calls with courtesy and precision, directing them appropriately. Furnish comprehensive information regarding rental terms, policies, and procedures to clients. Assist renters with inquiries and paperwork related to lease renewals. Manage city violations, including inspections, correspondence with inspectors via email and calls, and resolution of violations. Manage the handling of liens by completing forms and paperwork for abatement and mitigation. Coordinate maintenance activities by liaising with in-house handymen, third-party vendors, and tenants. Oversee the procurement and management of renovation supplies and maintain an organized inventory. Manage the procurement and organization of office supplies to ensure smooth operations. Assist in various administrative tasks, such as data entry, document scanning, and filing. Receive delivered packages and handle outgoing mail assignments efficiently. Gather feedback from renters regarding their move-in experience. Requirements: · Previous experience in customer service and property management (preferred) · Familiarity with property management software such Buildium, Property Meld, HappyCo is a plus. · Strong organizational skills with the ability to multitask and prioritize workload. · Excellent communication and interpersonal skills. · Proficient in data entry and file management to maintain accurate records. · Ability to handle inbound/outbound calls, emails, and inquiries. · Bilingual, English, and Spanish.
