Job Description Job Description The Immigration Legal Assistant (Contract) will provide specialized support for managing the company’s immigration and work authorization processes. This role will focus on ensuring timely and accurate visa applications, renewals, and compliance with immigration laws. The contractor will work closely with HR, external immigration attorneys, managers and employees to facilitate immigration-related matters and ensure a smooth and compliant onboarding process for international employee. This is a 6–12-month contract and part-time position. We are looking for someone to work 8-10 hours weekly during working hours 9am ET – 6pm ET. Responsibilities: • Support our outside counsel in all stages of the immigration process for new hires and existing employees, including work visas (H-1B, L-1, TN, etc.), Green Cards, and renewals. • Track and monitor expiration dates for work authorizations and visas, ensuring timely renewals to prevent legal work interruptions. • Serve as the point of contact for employees and managers on immigration matters, providing guidance and answering queries regarding their visa status and immigration processes. • Maintain detailed and accurate records of all employee immigration files in our external counsel’s software, Envoy, ensuring compliance with U.S. immigration laws and internal policies. • Stay up-to-date with changes in immigration regulations and advise the company on any necessary adjustments to processes and policies. • Update old and create new immigration resources for publishing on our Confluence page, creating a self-service center for addressing basic employee questions and Visa/PERM green card processes. • Liaise with external immigration attorneys and HR to manage employee recruitment and petitions, including H-1B sponsorships, PERM applications, and other related filings. • Work with outside counsel to ensure accurate and timely preparation and submission of immigration documents to relevant authorities. • Provide ongoing support to employees throughout the immigration process, including explaining timelines, helping them gather necessary documentation, and addressing concerns related to immigration status. • Assist with any audits or reviews related to immigration compliance Qualifications: • Bachelor’s degree in Legal Studies, Human Resources, Business Administration, or a related field. • 2 years of experience working with U.S. immigration processes, including work visas and permanent residency applications. • Proven experience in managing immigration cases and coordinating with external legal or immigration service providers. • Clear and effective communication with employees and external stakeholders, providing updates and managing expectations. • Strong understanding of U.S. immigration laws, visa categories (H-1B, L-1, O-1, TN, etc.), and work authorization requirements. • Excellent attention to detail and organizational skills, with the ability to manage multiple cases simultaneously.
