This is a fantastic opportunity to join a collaborative, hard working team as the Office Coordinator for a growing franchising company that provides commercial cleaning, janitorial and preventive disinfection services. They strive for offering superior service and growing a business they feel passionate about. Your Responsibilities Administrative Receive visitors, deliveries and mail directing each accordingly. Manage the phone system performance (phone tree) ensuring it is working properly, assessing and resolving issues that arise. Manage office equipment and supplies. Coordinate weekly employee lunches. Answer the general phone line and route calls to the correct person. Comprehend, obtain and provide Certificates of Insurance to customers and file. Fill out and return new vendor documentation to customers (i.e. W-9s, Vendor set up forms, ACH authorizations). Send new customer welcome emails. Pursue payments for delinquent accounts via the Small Claims Court. Invoice for special services on a weekly basis (i.e. steam cleaning, carpet cleaning, Unified Franchisee purchases). Oversee customer supplies, purchases and invoicing. Process accounts payable for Staples, reconciling the account and resolving discrepancies in a timely manner. Apply payments in Quickbooks and scan into bank. Upload customer invoices into respective portals. Complete all Accounts Receivable tasks such as AR statements, reviews, customer holds, calls and email follow ups, DSO under 24 (Days Sales Outstanding). Brand Services/Sales Support Execute up to 25 outbound calls per week for Brand Services closing the loop on any follow ups. Generate estimates as requested by Brand Services and Sales Manager. Stand in for Brand Services when they are on the road. Resolve customer issues with a sense of urgency. Follow up with customers logging detail in CRM. Send out BD mailers (2X/Month), mail holiday cards and sales proposals. Qualifications We Require Strong organizational skills (managing multiple tasks). Strong Computer Skills. Superior Organizational and Time Management Skills. Ability to multitask. Strong communication skills (verbal and written). Customer Service Oriented. Skills We Are Looking For Hands on experience with ZoHo (or other CRM software). Hands on experience with Quickbooks Desktop (or other accounting software).
