Job Description Job Description Qualifications include: Experience working in a similarly blended Paralegal / Legal Assistant capacity within a small law firm, trust company, corporate legal or accounting department. Preferred Bachelors or Associates degree (may consider relevant experience in lieu of an awarded degree). Paralegal Certificate from an ABA-Approved program; preferred, but not required.Understanding of basic accounting principles and terminology, book keeping; an advanced understanding is preferred, but not required. Understanding of trusts and estates, financial planning concepts, including trust/estate planning, tax planning; an advanced understanding is preferred, but not required. Understanding of real estate transactions and property management; preferred, but not required. Working knowledge of legal terminology and office procedures. Exceptional attention to detail and excellent organizational skills. Experience and proficiency using QuickBooks. Advanced skills in MS Word, MS Outlook, MS Excel, PowerPoint, Publisher and Adobe Acrobat with experience using Apple computers and OS. Must possess analytical and researching abilities in a fast paced, collaborative environment. Must have excellent written and verbal communication skills. Knowledge of both Transactional&Litigation processes; preferred, but not required. Experience using QuickBooks Willingness to learn the above is required. Duties include, but are not limited to : Perform data entry of approved account transactions including recurring/non-recurring bill payments and discretionary distributions while ensuring that cash positions are adequate to cover payments. Prepare routine correspondence and informational forms needed in documenting client activities. Generate accounting system downloads and prepare periodic reports for attorneys, clients and others as needed. Maintaining accounts records by initiating a range of account activity, monitoring account records to ensure accuracy and completeness, and responding to client inquiries to attorney. Assist attorneys in, preparing client presentations and coordinating with internal partners. Work with attorneys to ensure adherence to standards and regulatory requirements. Assist with management and coordination of client property holdings and investments (property/asset management). Create organizational structure charts and models. Word processing of documents and drafting of correspondence as needed. Perform administrative support duties for attorney as assigned including, but not limited to: manage travel itineraries, process expense reports, submitting vendor invoices for payment; creating, updating and filing subject matter files; and other support as needed. Lifting 45 lbs. Assisting with projects or assignments connected to litigation and corporate research. Trial preparation including assembling trial exhibits, notebooks, and visual aids. Maintaining calendar and scheduling conference calls. Reporting attorney time entries and monitoring and reporting CLE compliance. Maintaining records of bar/professional association activity and memberships and arranging for payment of annual dues. Interacting with firm attorneys, IT and Co-counsel in order to receive pleadings, documents, database backup and correspondence for review. Becoming knowledgeable and staying abreast of status of case files and monitoring due dates for matters. Maintaining client records both electronically and hard copy.
