Job Description Job Description Legal Administrator/Office Manager Overview: New Orleans, Louisiana: Flexicrew Technical Services (FTS) is seeking a a highly motivated, experienced, and professional candidate to join our team as a Legal Administrator and Office Manager. This position requires overseeing various administrative functions to ensure the smooth operation of our legal services, which include insurance defense, workers' compensation defense, maritime and admiralty law, medical malpractice, business litigation, and other areas of legal services. Essential Duties: • Provide comprehensive administrative support to attorneys and staff, including managing correspondence, scheduling appointments, and coordinating meetings. • Oversee the firm's information technology systems, ensuring all software and hardware are up-to-date and functioning properly. • Manage the firm’s finances and billing programs, including invoicing clients, processing payments, and maintaining financial records. • Supervise support staff and personnel, delegating tasks and providing training and development as needed. • Handle secretarial duties, including document preparation, filing, and maintaining legal records. • Assist in human resources functions such as recruiting, onboarding, and maintaining employee records. • Coordinate office operations, including managing office supplies, equipment maintenance, and relationships with vendors and service providers. • Ensure compliance with all legal and regulatory requirements, including maintaining confidentiality of client information and legal documents. Requirements/Skills: • Previous experience in a legal or administrative role is highly desirable. • Strong organizational skills and attention to detail, ensuring accuracy and efficiency in all tasks. • Excellent communication, interpersonal, and time management skills to effectively interact with clients, staff, and external parties. • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software. • Ability to multitask and prioritize tasks effectively in a fast-paced environment. • Proficient in information technology systems and office accounting software, with the ability to troubleshoot basic IT issues. • Familiarity with legal procedures and terminology is highly desirable. • Ability to maintain professionalism and confidentiality in all aspects of the job. Physical Requirements: • Ability to sit for extended periods while working at a computer. • Ability to lift and carry office supplies and equipment as needed. • Dexterity to perform repetitive tasks such as typing and filing.
