Job Description Job Description Community Association Portfolio Manager Experienced HOA Manager - Full Time Position CMCA Preferred Must have clean driving record as position utilizes a company vehicle. General Description of Position The Community Manager has the responsibility of managing the day-to-day operations of a portfolio of associations. Delivering management and customer service through in-depth knowledge of Governing Documents, and State and Local laws. Maintaining the highest degree of professionalism, integrity and loyalty in aspects when interfacing with the board members, homeowners, and vendors, both verbally and in written materials created, as well as demonstrating a high standard of ethics. Responsibilities and Duties HOA management in assisting the Board in fiscal management, budget preparation, administration, property insurance, policies and procedures, property infrastructure, and facility maintenance. Become familiar with Governing Documents, i.e., Master Deed or Declaration, Articles, of Incorporation, as well as communal areas, easements, and association’s area of responsibility. Guide and assist the respective board of directors to make sound, prudent, and ethical business decisions. Maintain open communications with Board of Directors and homeowners and respond to inquiries in professional written or verbal communication. Complete and update non-compliance and architectural requests. Facilitate Annual Meetings, Board Meetings, and prepare a management report for each Board Meeting. Keep a record of action items for all regular, special, and annual meetings. Review minutes and action items lists to ensure they are accurate with your notes. Code and approve accounts payable invoices and seek Board approval when necessary. Review all association financial statements monthly and be familiar with collection policies. Conduct regular property inspections, complete reports, and conduct all appropriate actions to ensure quality levels of maintenance and appearance standards. Assist Board with the quotes from properly licensed and insured vendors. Manage work orders to assure work orders are correctly routed. Communicate with vendors on routine contractual services to ensure continuation of quality maintenance and appearance. Required Qualifications Experience in professional HOA management. Knowledge of financials, budgets, audits, reserve studies, insurance claims process, and understanding association governing documents. Proficient in MS Office Suite (Word, Excel, Outlook). Commitment to time management following up on all issues. Computer Competency required with excellent communication skills, both written and verbal. Must be able to manage strong personalities, run organized and efficient meetings and communicate in a pleasant and professional demeanor. Have CMCA or are currently working to obtain CMCA. Professional grammar, spelling and letter composition skills. Dependable, punctual, organized motivated. Ability to multi-task, prioritize and work without direct supervision while working in a fast-paced environment. Clean driving record required. EDUCATION AND EXPERIENCE Minimum of 3-5 years Community Association Management experience, CMCA designation preferred or associate degree and HOA management experience.
