Job Description Job Description FULL JOB DESCRIPTION The Commercial Real Estate Property Manager is responsible for overseeing building operations, building systems, lease administration, vendor service contract management, client reporting, tenant relations, budgeting and financial management, and project management. Applicant must be energetic, highly organized, and accomplishment-oriented with a hands-on, roll up your sleeves approach and ready to immediately engage in a fast-paced environment. Interaction will include all levels of management, tenants, co-workers, staff, supervisors, vendors and clients from a wide array of disciplines and therefore, polished communication (verbal&written), presentation and organizational skills are key to success in this role. COMMERCIAL PROPERTY MANAGER DUTIES Prepare annual and stub property budgets including 3–5-year CapEx plans Provide excellent customer service to owners, tenants, vendors, and others. Resolve customer request and service issues. Ability to assess and problem solve issues or escalate to SPM in a timely manner. Ensure the accuracy of all property level financial data and that all the revenues are properly billed and collected as well as the accuracy and transmittal of client monthly reports. Manage CAM reconciliation process. Manage all lease administrative duties, including leases, amendments, legal documentation, notices, etc. Review Yardi information for accuracy. Oversee the management of work order scheduling. Manage vendors, including scoping, bidding, compliance, and completion of services/projects. Review and approve vendor agreements in line with company protocol. Ensure properties are in full compliance, i.e. Current insurance in place for tenants, vendors, annual fire inspections, etc. Oversee rent collections. Understanding the scope and limits of property management agreement of the assigned properties. Coordinate required notices and coordinate legal services as necessary. Follow company policy for monthly property inspections. Answer and manage after-hour emergency calls. Assist Sr. Property Manager with budget forecasting and variance analysis. Participate in industry organizations, associations, and events. Participate in construction management duties. Understanding of industry standard accounting systems such as Yardi, MRI, etc. Model behaviors that are consistent with company values. Travel required up to 25-30% Perform other duties as assigned or otherwise identified. QUALIFICATIONS, KNOWLEDGE, AND SKILLS 3-5 years minimum experience in commercial property management. California State Real Estate License (Preferred) Understanding of basic business math. Strong reading and comprehension skills. Knowledge of commercial building practices and systems, HVAC, plumbing and electrical systems. Must have strong computer skills, proficient in Microsoft Office, Word, Excel, and have fast, reliable internet. Strong leadership, motivation and managerial skills. Proven ability to be flexible, prioritize and manage multiple projects while delivering on a deadline. Effective listening, communication (verbal and written) and negotiation skills. PHYSICAL&MENTAL REQUIREMENTS Must be physically and mentally able to perform the duties and responsibilities listed above. Ability to move throughout the premises to interact with tenants and operations employees. Must occasionally lift and/or move up to approximately 30 pounds, including without limitation, office supplies and items associated with the operations of the management office and property. OVERTIME/HOLIDAY WORK SHIFTS This position will work the hours necessary to meet the needs of the business and to complete necessary job duties. Must be flexible and able to work nights, weekends and holidays to respond to urgent situations if needed.
