Department Summary The Digital Initiatives&Information Technology Operations Services (DIITOS) provides operational support and service for the Library including technical project management, instructional technology services, staff productivity and service area technology. This unit includes the following teams focused on information and instructional technology services and support. These teams also work cross-functionally to manage and support the Campus Library Instructional Computing Commons (CLICC) services such as equipment lending and innovative technology support for use in teaching and learning. The Digital Initiatives&Information Technology Operations group (DIITOS) is a functional unit of the information technology unit called DIIT. Digital Initiatives and Information Technology (DIIT) department is comprised of over 30 staff members in four functional units: 1) the Software Development Team, 2) the Core Ops Team, which focuses on servers, storage, security, networks, and other library infrastructure, 3) the Operations Services Teams which provide hardware and software support to staff and library users, manage learning and research technology services, and run student technology services (CLICC), and 4) the Digital Library Program which works with partners, both internal to UCLA and across the globe, to execute projects that digitize, describe, and publish archival materials. Position Summary Reporting to the Head of IT Operations and Services, the CLICC Program and Projects Administrator (CLICC PPA) is responsible for supporting daily CLICC and services in coordination with other IT Operations&Services staff. The incumbent must: manage and supervising student schedules, supporting daily operations and managing special projects related deploying new and enhanced services; provide administrative and logistical support where necessary; work and perform training and supervision in all CLICC spaces and supports services, including covering for student staff when necessary; lead and manage special projects or assignments that are time sensitive or complex in nature, requiring a high level of independence and initiative in execution and implementation; serve as a member of the CLICC Operations and CLICC Leads and Schedulers team; serve as a liaison to other Library units and coordinate communication about CLICC services; Core functions and duties listed must be performed onsite. Qualifications Demonstrated experience working as a self-starter&working independently&efficiently with minimal supervision while exercising sound judgement in knowing when an issue requires escalation/sensitivity. (Required) Experience with operations of a large, high-volume tech.&user support services in educational, library or similar institution, including fines resolution, special service, inventory maintenance&user support. (Required) Demonstrated experience supervising&training others to perform tasks efficiently, take appropriate action to improve performance, effectively communicate expectations delegate work based on work. (Required) Demonstrated experience creating&implementing projects&priorities for supervised staff, coordinate&plan daily workflows, evaluate&update organizational structures as needed for effectiveness. (Required) Demonstrated experience with wiki-based documentation systems, ticketing support systems&systems commonly used in lending&tech. management such as Atlassian, ExLibris&Springshare applications. (Required) Skill in short- and long-term planning to meet workflow demands for the department, with the ability to balance operational needs and priorities with budget considerations. (Required) Ability to make immediate decisions based on situational and policy/procedural considerations (i.e. need for flexibility, sensitivity to maintain good public relations, and the ability to analyze long-term impact of policy changes to various library user groups). (Required) Interpersonal skills to initiate&maintain cooperative working relationships with co-workers, supervisor and unit head. (Required) Ability to work harmoniously&as a team player, thrive in a team-based environment&skill in fostering teamwork in others. (Required) Problem solving skills to diplomatically resolve disputes/discrepancies. Communication skills to represent Access Services in various situations such as councils&committees,&to students&faculty with regards to issues such as billing, reserves,&borrowing-related privileges and problem resolution. (Required) Writing skills sufficient to prepare emails, blog posts, web pages, job analysis forms, annual and special reports, business letters, disciplinary/corrective actions, and other correspondences that are clear, concise and logical. (Required) Mathematical skills to perform tasks of reporting and managing projects, including the ability to analyze, integrate and utilize a large amount of data to prepare accurate reports for departmental and library-wide groups and administration. (Required) Ability to embrace&utilize new&emerging technologies; skill in responding quickly to tech challenges. Awareness of existing&emerging social media trends, the audiences who use them,&other protocols for use within the organization to allow for effective&timely communication to its stakeholders. (Required) Working knowledge of UC and UCLA policies, procedures, administration, and operations, particularly in areas of access services, financial management, human resources, budget, accounting, and purchasing. General knowledge of UCLA facilities and safety functions and policies and procedures. (Preferred) Familiarity with project management methodologies, tools, and techniques.
