If you have experience as an assistant property manager and are interested in joining our team, please take a moment to apply with us and see if we may be a good fit for you Summary: Responsible to assist Property Manager with all on-site day-to-day residential property operations. Take over the role of Property Manager in their absence. Essential Duties and Responsibilities: The assistant property manager assumes responsibility for the property when the property manager is not present. Assists the Property Manager with general operations of the community by performing inspections to ensure the community rules and regulations are adhered to. Responsible for leasing apartments, including showing models and common areas, explaining the benefits of the community, process lease agreements, and coordinating the "move-in." Prepares and maintains resident files Provides on-going assistance to residents after move-in. Assist the Property Manager with collection and processing of all rent payments, postings, and purchase orders. Assist the Property Manager with taking 30 day notices and processing move outs (inspections and dispositions) including process final account statements to include SODA requests. Assist the Property Manager with late notices, serving 5 Day Pay or Quits and serving eviction notices. Filing evictions and attends court hearings if required. Assist the Property Manager by filing evictions as needed and represent the property at court hearings if required. Assist the Property Manager process final account statements to include SODA requests. Inspect vacancies, make ready’s and follow up on all work orders as necessary. Complete all reports for Property Manager, Regional Manager and Chief Operations Officer upon request. This will include Weekly Reports and Daily Reports. Prepares community reports Assist leasing agents when necessary. To include training, motivating, role playing and leasing when needed. Weekly and monthly monitoring that all leasing agents are following up on prospective residents, using proper tools (guest cards, traffic logs, etc.) and proper closing ratios are being maintained. Prepare Market Surveys weekly and monthly as well as shop competitive properties regularly. Assist the Property Manager with resident complaints and concerns. Prepare lease renewal letters and lease renewal recap monthly. Ensure that all notices are sent out properly prepared and on a timely basis. Assist Property Manager create purchase orders, invoice review and preparing any bills for accounting department, including proper coding and logging of the Declining Log sheet. Prepare bank deposits and ensure that they are made on a daily basis. Perform all tasks assigned by the Property Manager or Regional Manager. Abide by all Stout Management Company policies and procedures and use all appropriate forms. Report any theft, vandalism, trip hazards or resident complaints to manager Must dress and act in a professional manner, following Stout Management Company’s dress code Maintain strict confidentiality of all Stout Management information and report any breach of integrity which occurs at your property to the Property Manager or Regional Manager immediately. Prepare and follow-up on maintenance work orders All other administrative duties as assigned by the Property Manager and Regional Manager. Responsible for building and maintaining positive resident and community relationships. Performs tasks associated with the operation of the property including rent collections, resident services. Assist with creating resident retention programs and maintenance. Assist in validating prospect/resident rental eligibility using designated background verification process. Monitoring the completion of service requests and make-ready, report preparation, unit inspections and marketing. Regularly inspect tenant units including patios, balconies, common areas, base building areas and grounds to ensure a high level of maintenance, regularly interfacing with internal staff and vendors to maintain same. Analyze current maintenance programs/procedures and make recommendations to Property Manager that ensures operating efficiency and effectiveness. Partner with Property Manager to identify and achieve additional income. Maintain a working knowledge of Company databases and information/reporting tools. Excellent customer service skills Ability to interact effectively with management, peers, and residents Maintaining high company standards Promotes positive relationships with all employees.
